One AI workflow for every client

One shared workflow replaced a 3 to 5 week custom build for each client.

The problem

The team built a separate AI workflow for every client, even for the same type of content. Each new client meant 3 to 5 weeks to build, test, and tune one more workflow. A single fix had to be made again in every copy.

What I did

  • Took over 4 client builds and looked for what they had in common.
  • Moved each client's voice, rules, and competitors out of the workflow and into that client's brand kit.
  • Kept the workflow general, so it reads whichever brand kit is picked for the run.
  • Later made it faster and cheaper: moved a fact-checking step into its own service and cut one prompt section by 36%.

The result

  • When the team decided on one workflow for all clients, mine already worked.
  • It became the standard way the team delivers this type of content.
  • New client setup went from a 3 to 5 week custom build to a brand kit setup. The 1 to 2 week build step is gone for every new client.
  • One fix now reaches every client at once.

Before and after

Before: four clients, each with their own AI workflow and rules built in. After: four brand kits feed one shared AI workflow, the Universal Writer, which writes articles for every client.
